Guide to Saving & Uploading On-Line Newsletters

(A) To Create Your Newsletter:

·        Start Publisher

·        Choose Publications by Wizard à Select Web Site

·        File à Save à save your document in your j-drive folder as “newsletter.pub”

o      Note that your document will save with a *.pub extension.

 

(B) To Edit and Change Your Newsletter:

·        Continue to work in and save your document in the Publisher format (i.e., file extension = *.pub) until you have completed all changes to the document.

(C) Before You Save Your Newsletter as a Web Page:

·        While working with your newsletter in Publisher, go to the first page of the newsletter. In the File menu, choose Web Properties, select the Page option, and change the name to “newsletter.htm”.

o      Why do you need to do this?

§        As a default, Publisher saves the first page of any web page it creates as “index.html.” Obviously, this creates a conflict with your pre-existing home page (the one you created with Microsoft Word). Therefore, it is imperative that you re-name the page in Publisher.

§         Note that, because of the synchronization capabilities of Publisher, all links to this page in your newsletter will automatically change to its new name.

·        Create a new folder called “newsletter” in your j-drive folder.

 


(D) To Save Your Newsletter as a Web Page:

·        After you have completed all changes to your newsletter, go to the File menu, choose Save as Web Page à Select the new folder you created for this file (in the example above, “newsletter”) and save the newsletter there.

o       Note that there is no need to name the publication. In converting the file to a web page, Publisher will automatically name and save all pages and supporting files for your newsletter to this folder.

(E) To Transfer Your Newsletter to Your public_html folder:

·        Open up the WS_FTP program and log on to po.brockport.edu à double-click the public_html folder on the right-hand-side of the screen.

·        On the left-hand-side of the screen, select the “newsletter” folder by clicking on it once à Transfer the entire folder into your public_html  folder.

·        Within your public_html folder, there is now a newsletter sub-folder. All of the files for your on-line newsletter are located within this subfolder.

 

(F) To Create a Link to Your Newsletter on Your Home Page:

·        Because the files for the newsletter are located within a sub-folder of the public_html folder, the hyperlink you create will have to contain one extra piece of information.

o      Since you renamed the first page of your newsletter “newsletter.htm” and the sub-folder in which it resides “newsletter,” the URL for your newsletter is: http://www.acs.brockport.edu/~username/newsletter/newsletter.htm

o       This is the address you should place in the hyperlink on the home page you have been working on in Microsoft Word (refer to the sample web pages on the exercises page of the class web site).
